Event Instructions

Instructions for Events at Pierce College

Los Angeles Pierce College (LAPC) buildings and grounds may be used by citizens and outside organizations subject to the prior approval of the College with priority given to educational and civic activities. An approved Pierce College Civic Center Permit, Permit for Use, or Lease Agreement is required for all such activities and all applications will be reviewed for health, safety, security and other impacts to the college community.

Basic Step-by-Step process to rent Pierce Facilities:

  1. Contact Events Office to discuss potential facility rental, including to make arrangements to view any facilities.
  2. Inform Events Coordinator of requested event date(s).
  3. Event Coordinator will confirm availability of requested facility after checking with the affected Departments, Facilities, and the Events Calendar.  Also will need to coordinate any support staff needed for the Event.
  4. Submit completed forms:
    1. Application
    2. Vendor forms
    3. Insurance paperwork, per LACCD guidelines (*Permit for Use can not be created without complete insurance paperwork).
  5. Review with Event Coordinator all logistics pertaining to the Event to ensure all needs for the Event are covered.  There may be additional city or external permits/licenses required, depending on the Event.
  6. Event Coordinator will send Permit or Contract for signature.  Once signed, return to Event Coordinator for counter-signature from Pierce President or VP.
  7. Payment for Event is due prior to the Event.  Refundable Security Deposit may also be required.  Event will not be allowed to occur without payment prior to the Event.
  8. A post-event evaluation will be made for the return of any Security Deposit submitted.  Damage to Pierce property will be assessed and the Security Deposit will be held – or used – until the Facility is restored.  Additionally, if the facility is left requiring additional cleanup from Pierce Facilities, additional fees will be assessed to cover the costs.

*PLEASE NOTE: some events require a contract or a lease agreement.  Those will need to go to the LACCD Board of Trustees for approval and require a minimum of six (6) weeks of advance notice to submit to the Board Agenda.  Please plan accordingly.
